EATON VILLAGE HALL – CONDITIONS OF HIRE

 

The HIRER must be at least 18 years of age and will, during the period of hire and any preparation and/or clear up time taken before and after the period of hire, be responsible for:

 

  • The supervision of the Hall and its contents, their care, and safety from damage.

  • The safety and security of any items belonging to them and those attending the event and brought into the Hall.

  • The behaviour and safety of all persons using the Hall whatever their capacity.

  • The evacuation of the Hall in the event of an emergency.

  • Complying with any reasonable regulations made and notified in writing, including notices put up in the Hall, by the Committee.

  • Ensuring that all Fire Exits are kept clear both internally and externally at all times.

  • Reporting full details of any accidents or damage to property to the Booking Secretary as soon as practicable.

  • Advising all users to park in a safe and considerate manner.

  • The supervision of persons under 18 years of age; a responsible adult (over 21 years of age) must be present at all times during the period of hire.

  • Advising users to leave the premises quietly and in a considerate manner.

 

The HIRER shall not:

 

  • Sub-hire the Hall

  • Allow the Hall to be used for any unlawful purpose.

  • Do anything or bring into the Hall anything which might endanger the premises.

  • Bring into the Hall or its grounds a bouncy castle or other inflatable device without the prior written permission of the Committee being obtained and appropriate Public Liability Insurance in the name of the Hirer and/or provider/operator being in place, being operative and evidenced to the satisfaction of the Committee.

 

The HIRER shall be responsible for ensuring that:

 

  • The Booking Secretary is advised should you wish to include the sale of alcohol as part of the hire.

  • All necessary licences and permissions required relevant to the purpose of hire are obtained and in place during the period of hire.

  • Music or other entertainment is conducted as reasonable levels so that no nuisance or annoyance is caused to occupiers of neighbouring property.

  • Music or other entertainment does not start before 0900 and ceases on or before 2400 Sunday to Saturday.

  • The keys to the Hall are kept securely at all times and returned to the Key Safe on completion of the hire, or returned as otherwise agreed.

 

At the end of the period of hire, the HIRER shall be responsible for:

 

  • Leaving the Hall, car park and outdoor space in a clean and tidy condition.

  • Removing ALL rubbish, food, waste and items brought into the Hall by the hirer and disposing of same in a lawful manner.

  • Replacing any contents (eg, tables, chairs, crockery) in their original place after use.

  • Closing and securing all windows and fire doors and properly locking and securing the Hall.

  • Ensuring that the heating and all the lighting is turned off. 

 

The HIRER shall indemnify the Village Hall Committee against all claims and demands for injury, loss or damage to persons or the Hall, its contents, car park and open space which may occur or arise from the use and enjoyment of the Hall by the Hirer or others, however caused.

 

The Village Hall Management Committee reserve the right to cancel the hire booking if the Hall is required for an Election Polling Station, refunding monies paid as necessary, or cancel the hire booking without incurring any liability should the booking be objected to by the Police or if any notices are served on the Committee by any statutory or other competent authority concerning the booking.
